ViaUAE — Privacy Policy

Corevia L.L.C-FZ · Version 1.1 · 20 September 2026

Setting up a company involves personal information. We explain here what we need, how we use it and the choices you have. This notice covers our website, pricing calculator, enquiries and services under the ViaUAE brand.

1. Who is responsible for your information?

ViaUAE is operated by Corevia L.L.C-FZ, registered in Meydan Free Zone, Dubai, United Arab Emirates. Corevia is the controller for the personal information it uses for the purposes described in this notice.

Trade licence: 2530284.01

Formation number: 2530284

Registered address: Meydan Grandstand, 6th floor, Meydan Road, Nad Al Sheba, Dubai, U.A.E.

Privacy contact: info@viau.ae

Website: https://viau.ae

Authorities, free zones, banks and independent professional advisers may be separate controllers when they process information under their own duties. Their privacy notices also apply to their processing.

This policy explains our use of information. It is not a request for blanket consent, and accepting our service terms does not mean accepting advertising tracking or marketing.

2. Information we use

Contact and enquiry information.

Your name, email, telephone or WhatsApp number, country, business activity, proposed ownership, number of applicants, expected timeline, calculator answers and correspondence. We also record the quotation and services you request.

Application documents.

Where relevant to your engagement, we may need passport and visa copies, Emirates ID, photographs, address evidence, CVs, qualifications and company documents. For ownership or banking checks, this may include shareholder and beneficial-owner details, bank statements and source-of-funds information. Family applications may require marriage or birth certificates and dependants' details.

Sensitive information.

Certain application documents can reveal sensitive information. We limit collection to what the relevant process requires and use the additional legal basis or consent required by applicable law. We do not request medical records simply to book an appointment; medical providers and authorities handle their own examinations and records.

Order and payment records.

Accepted quotations, invoices, payment confirmations, transaction references, authorisations and related correspondence. Where you pay through a payment provider, that provider processes the payment details under its own arrangements. Do not send card security codes or account passwords to us by email or messaging.

Referral records.

Where a referral arrangement applies, the referrer's identity, the introduction, relevant engagement status and commission records.

Website and advertising information.

IP address, device and browser information, page addresses, referral links, campaign identifiers, timestamps and interactions with our website. With advertising consent, Meta Pixel can collect information about visits and configured events, such as an enquiry submission. Section 5 explains this separately.

Preference and acceptance records.

The choices you make about cookies and marketing, and evidence of contractual acceptance, including the relevant version, date and method.

Please provide only what we request. If you send information about another person, make sure you are authorised to do so and share this notice with them where appropriate. We remain responsible for any notice or other obligation that the law places on us.

3. Where it comes from

We receive information from you through the calculator, forms, calls, email, meetings and messaging. We may also receive it from an authorised representative, a referrer, or the authorities and providers involved in your application.

Our website collects technical information through its operation and, subject to your choices, through tracking technologies. If we obtain information from another source, we provide any additional information about that source required by law.

If you do not provide information required to prepare or submit an application, we may be unable to deliver that service. Optional marketing and advertising consent is not required to purchase our services.

4. Why we use it and the legal basis

We apply the legal basis available under the law governing the particular processing. Under UAE law, we rely on consent or an applicable statutory exception, such as processing necessary for a contract, a legal obligation or legal claims. We do not assume that a general business interest is, by itself, a valid exception under UAE law.

Where the GDPR applies, the purposes and bases are as follows:

PurposeInformation involvedGDPR basis
Respond to your request and prepare a quotationContact information, calculator answers and correspondenceSteps at your request before entering a contract with you; legitimate interests in answering business enquiries where you represent a company
Deliver and administer agreed servicesContact details, application documents, approvals and order recordsPerformance of our contract with you; legitimate interests in delivering services to a corporate customer where you are its representative, subject to your rights
Carry out required compliance and record-keepingIdentity, ownership, transaction and compliance recordsLegal obligation where the relevant obligation qualifies under GDPR Article 6(1)(c); otherwise a separately assessed permitted basis, such as legitimate interests in lawful service delivery, where available
Keep systems secure and prevent misuseTechnical logs, access records and incident informationLegitimate interests in protecting customers and systems, subject to your rights
Administer referrals, resolve disputes and maintain necessary business recordsReferral, contract, payment and correspondence recordsContract where applicable; otherwise legitimate interests in administration and establishing or defending claims, subject to your rights
Measure advertising and build website-based advertising audiences using Meta PixelCookie identifiers, technical information and approved website eventsConsent
Send optional promotional communicationsContact information and marketing preferencesConsent where required; any lawful existing-customer exception only where its conditions are met

Contract necessity applies only to information genuinely needed for the contract. Where sensitive data is involved, an additional condition under the applicable law is required. We do not use this table to bypass that requirement.

You can withdraw consent at any time. Withdrawal does not make earlier lawful processing unlawful. It may prevent us from completing a requested task if consent is the only available basis for information essential to that task.

5. Cookies and Meta Pixel

Essential functions

Cookies and similar technologies can support security, forms and the storage of your privacy choices. Technologies strictly necessary for a service you request are treated separately from optional advertising tracking.

Meta advertising

We use Meta Pixel in connection with advertising on Facebook and Instagram. Subject to your advertising consent, it helps us understand whether an advert led to a website visit or enquiry, assess campaign performance and create website-based audiences for relevant advertising.

The Pixel may send Meta your IP address, browser and device information, page address, event time, cookie or advertising identifiers, and the event that occurred. The exact events depend on our configuration. Meta may associate this information with a Facebook or Instagram account and use it for measurement and advertising under its own policies. The data is not necessarily anonymous.

We do not permit passports, Emirates ID details, bank statements, medical information, application documents or the contents of private enquiry messages to be sent through advertising events. An enquiry event should indicate that an action happened, without transmitting the application or message itself.

Meta's legal role depends on the processing and applicable terms. Where Meta's controller arrangements apply, we and the relevant Meta entity may have joint responsibilities for collecting and transmitting event data. Meta is responsible for its subsequent processing under its own policies. You may contact us about the processing we control and any applicable joint-controller arrangements.

For more information, see Meta's Privacy Policy, Meta's Cookies Policy and, where applicable, Meta's Controller Addendum.

Your tracking choices

We ask for consent before activating Meta Pixel and other optional advertising technologies. You can accept or reject optional tracking and change your choice through the website's Cookie settings. Rejecting advertising tracking does not prevent you from requesting a quotation or using our services.

Withdrawing advertising consent stops future optional tracking from the website. It does not automatically erase information already received by Meta; you can exercise applicable rights with us or Meta and use Meta's privacy controls.

The cookie information available through Cookie settings identifies the technologies actually used, their providers, purposes and durations. Cookies and other stored identifiers can also be removed through browser settings. Removing cookies may reset your choices, so you may be asked again. Browser controls supplement the website's consent controls; they do not replace them.

This notice does not treat acceptance of cookies as permission to send email or WhatsApp promotions. Those choices are separate.

6. Who receives information?

We disclose information only for a relevant purpose and to the extent needed.

Authorities and free zones: for the company, licence, immigration, identity and other applications you ask us to coordinate.

Operational providers: authorised application-processing providers, document services and couriers involved in the agreed work.

Banks and specialists: where you request an introduction or application support. An introduction does not authorise unrestricted sharing of your documents.

Technology providers: providers of hosting, forms, customer management, document storage, communications, scheduling and payment services used to operate our business. They receive information appropriate to their role and are subject to relevant contractual and legal requirements.

Meta: for consented advertising-event processing described in section 5. Using WhatsApp for communications is a separate use from Meta Pixel advertising tracking.

Referrers: where needed under a disclosed referral arrangement, limited confirmation of referral eligibility, engagement status and commission information. We do not routinely share identity documents, banking documents or private application details with a referrer.

Professional advisers and public bodies: for legal advice, compliance, lawful requests, investigations or legal claims.

A business successor: where necessary for a proposed or completed sale or reorganisation, subject to appropriate confidentiality and data protection safeguards.

We do not sell customer application files or contact lists. The advertising disclosures to Meta are described separately above and remain subject to any rights applicable to advertising-related sharing in your jurisdiction.

7. Information moving between countries

Our business is based in the UAE. Applications for UAE services require information to be processed here. Providers, including Meta, may also process information in other countries, including the United States. Their location and service configuration affect where processing takes place.

Where international-transfer restrictions apply, we use a legally permitted transfer mechanism. Depending on the transfer, this may involve an applicable adequacy decision, approved contractual safeguards and any required supplementary measures, or a specific legal exception whose conditions are met. A service contract or acceptance of this notice does not, by itself, authorise unrestricted international transfers.

For transfers governed by the GDPR, safeguards may include the European Commission's Standard Contractual Clauses where appropriate. For UAE-regulated transfers, the relevant UAE requirements also apply. Email info@viau.ae to request information about the destinations and safeguards relevant to your data, including a copy or explanation of applicable safeguards, subject to lawful redactions.

8. How long information is kept

We retain information for the purpose that justifies keeping it, rather than keeping every document indefinitely. The period depends on the type of record and the obligations that apply:

RecordRetention criteria
Enquiries that do not become engagementsWhile the enquiry and a reasonable follow-up remain active; afterwards only if there is a separate lawful purpose, such as a dispute or an opted-in marketing relationship
Application and identity documentsWhile needed for the application and agreed follow-up, plus any applicable mandatory retention period; a requirement to keep an invoice does not automatically justify keeping every identity document
Contracts, invoices and compliance recordsFor the applicable statutory record-keeping period and any additional period necessary for a specific legal claim or legal hold
Marketing recordsUntil consent is withdrawn, you object or the marketing purpose ends; minimal suppression records may be retained to honour your choice
Consent and acceptance evidenceFor as long as necessary to demonstrate the relevant choice or agreement and address applicable claims or accountability requirements
Website logs and advertising identifiersAccording to their security or advertising purpose, the configured retention period and your choices; browser-storage durations are described in Cookie settings

We delete or anonymise records when the relevant need ends. Backup copies are removed through the backup cycle and are not retained as an active marketing database. Where we must retain information after an erasure request, we explain the reason and limit its use as appropriate.

9. Keeping information secure

We use appropriate technical and organisational measures proportionate to the information and risk. These include controlling access, limiting sharing and using suitable arrangements with service providers. We handle reportable breaches in accordance with applicable notification requirements.

No online service can promise absolute security. Please use the document-submission method we specify and contact us if you suspect that information sent in our name is fraudulent.

10. Your rights and how to use them

Depending on applicable law, you may request access, correction, deletion, restriction of use or a portable copy of your information. You may also object to certain processing and withdraw consent. Where we rely on legitimate interests under the GDPR, you may object on grounds relating to your situation.

You can object to direct marketing at any time. Use the unsubscribe option provided or email info@viau.ae. We stop the relevant marketing, including related profiling, and may retain minimal information to avoid contacting you again.

Send privacy requests to info@viau.ae. We may request proportionate identity verification, but do not require unnecessary identity documents. We respond within the deadline required by the applicable law. Where the GDPR applies, this is normally within one month; any permitted extension will be explained within that period. Requests are normally free, subject to lawful exceptions.

Some rights have limits, for example where information must be kept by law or is needed for legal claims. We explain any refusal or limitation and the available complaint route.

You may complain to the competent UAE data protection authority. Where the GDPR applies, you may also complain to a supervisory authority in the EU/EEA, including where you live or work or where an alleged infringement occurred. Danish individuals can contact Datatilsynet. You do not have to complain to us first.

Advertising audiences can involve profiling based on website activity. This policy does not authorise us to make decisions with legal or similarly significant effects on you solely through automated processing. Any introduction of such processing requires the applicable notice, legal basis and safeguards. Banks and authorities make their own decisions under their separate responsibilities.

11. Children and family applications

Our website and marketing are intended for adults. Where a parent or authorised guardian asks us to coordinate a family application, we process the child's information only as needed for that service and applicable obligations. Children's application information must not be used for advertising audiences or sent through Meta Pixel.

Contact us if you believe a child has provided information outside an authorised application so we can assess and address it.

12. Changes and contact

We update this notice when our practices or relevant requirements change. The date and version above identify the current notice. We give additional notice of material changes where required and obtain fresh consent where a new use requires it. Publishing a revised policy is not, by itself, your consent to a new purpose.
